We’re hiring: Event Manager
Canada Powered by Women (CPW) is looking for a full-time Event Manager to plan and execute dynamic and engaging events across Canada. This is a one-year contract role from January through December 2025, with the potential for extension or renewal on a quarterly or annual basis. This role reports to the National Marketing Director.
The ideal candidate is an experienced event planner who is meticulous and organized. They are an expert in event planning and all things related including budget management, tracking and delivering sponsorship commitments, facilitating event content development, event logistics, supporting marketing and promotion and tracking performance compared to objectives.
They will be able to coordinate multiple priorities and moving parts under pressure, ensuring any last-minute changes or obstacles are handled professionally and with minimal disruption. They also have experience managing people (including volunteers), coordinating with suppliers and agencies, and applying technology to support event planning and delivery.
The Event Manager will bring a strong sense of our organization’s vision, mission and values as well as an understanding of how events are fundamental to CPW’s broader communications strategy and mission to facilitate bold conversations.
Finally, being a collaborative team player is a must as CPW has a multi-channel go-to-market plan with many inter-dependencies between colleagues, volunteers, speakers and agency teams. Flexibility in hours is also an expectation in this role due to the nature of event work. This includes occasional evening/weekend availability and being available for periodic travel to other regions of Canada.

The role
– Plan and execute events for internal and external purposes. These events can include larger (200 people +) to smaller events (20+) located across Canada as well as tradeshows, conferences and speaking opportunities.
– Develop and manage event plans to be on or under budget and on schedule. Maintain and update the event calendar and schedule accordingly.
– Work with multiple vendors nationally to fulfill all requirements for each event.
– Reach out to potential and confirmed sponsors and collaborators and work closely with them to ensure commitments are met and events are delivered seamlessly.
– With an event committee board member chair, support the committee which includes recruiting and managing event volunteers, ensuring clear communication and responsibilities. As well as plan and attend committee meetings.
– Liaise with speakers and executives for events, including being their first point of contact.
– Track event success metrics (e.g., attendance, funds raised, sponsorships)
– Work closely with the content manager to provide details to promote events through multiple channels i.e. Perspectives, social media, news outlets, etc.
– Maintain accurate records of all expenditures; ensuring cost effective solutions while delivering high quality experiences.
– Manage budget and provide budget reporting and reconciliation.
– Coordinating event marketing materials, including writing, proofing and managing invitations, social media campaigns, content, and polling software.
– Ensure events are carried out successfully; onsite management, IT testing prior to event, scheduling dry runs, etc.
– Manage closed loop process including all post-event communications and reporting.
– Ensure leads and new contacts from events are shared and stored in CPW’s internal database/customer relationship management (CRM) platform.
– Create and populate event de-brief documents.
– Update event procedures and processes, including identifying areas of opportunity and efficiency.
– Participate collaboratively and actively in CPW’s various team, agency, and committee meetings and / or initiatives.
– Network on behalf of CPW and occasionally attend or participate in events.
Your expertise
– 5+ years in an event management specialist or manager role. This role also requires managing a co-op student, so previous managerial expertise is an asset.
– Post-secondary education and work experience in events, preferably in a nonprofit and or/member-based environment.
– Proven experience managing large-scale events as well as intimate smaller events.
– Strong project management skills with the ability to handle multiple projects and deadlines.
– Strong written and verbal communication skills with exceptional attention to detail.
– Positive and professional demeanor.
– Excellent interpersonal skills with ability to communicate effectively at all levels of the organization.
– Comfort working with people across a diversity of roles and levels, including staff team members, agency partners, Board members, executive leaders, administrators and others.
– A fast learner and active team player. Demonstrated ability to excel in a dynamic environment, anticipate issues, strategically solve problems, quickly react to changing priorities and flexibly adjust work.
– A learning mindset, including the ability to accept feedback, appropriately raise questions and keep focused on the work and overall goals.
– Excellent organizing, prioritizing and time management skills, with the ability to effectively plan, implement and evaluate efforts.
– Ability to multi-task and work independently with little supervision, handling multiple projects and meeting deadlines.
– Passion for creating event experiences and bringing forward new ideas.
– Verbal and written communication and presentation skills.
– Advanced proficiency in MS Word, Excel, Outlook, PowerPoint and TEAMS.
– Experience in creating marketing collateral using creative platforms such as Canva.
– Proficiency in ChatGPT, Adobe Suite, Event Brite and MailChimp is considered an asset.
– Ability to quickly learn new digital platforms and programs as required.
– Experience managing projects and project budgets.
Terms and conditions
– CPW offers a hybrid work environment. Two in-office days (7.5 hrs./day) in the Calgary downtown office during business hours are required weekly. These are on Tuesday and Thursday. The remaining hours can be worked remotely from your location of choice within the Calgary region.
– You may be asked to attend meetings outside of standard business hours up to a few times per month. Travel to other areas of Canada may be required up to a few times yearly.
– It is our expectation you will have your own office equipment (mobile and laptop). CPW will provide a Microsoft 365 license and access to all required software and programs.
– The contract will specify a three-month probationary period.
– Paid vacation is part of this contract.
